Portfolio Administrator

Location: Boston, MA | Reports To: Portfolio Administrator Manager
This position provides administrative support to the portfolio managers and clients. The portfolio administrator is responsible for taking incoming client calls and assisting them with requests, completion of client, custodian, and firm paperwork and maintaining schedules for portfolio managers. This role requires interaction with all departments and levels of management.
Essential Functions:
• Answer incoming calls to portfolio managers
• Communicate with clients daily through phone, email or in person and assist with requests
• Process cash and security related requests, pay bills and process gifts on behalf of clients
• Heavy use of CRM for tracking client requests and client maintenance
• Monitor cash positions and overdrafts
• Maintain organized Outlook calendar and schedule meetings
• Assist portfolio manager(s) with client related requests, sorting mail, meeting preparation, etc.
• Prepare necessary reports/books for client meetings
• Opening and closing client accounts
• Work with estate documents, Trusts and Wills
• Assist with preparation and mailing of quarterly letters/EMC
• Interacting with custodian and other vendors on a daily basis
Qualifications:
• Bachelor’s degree and/or a minimum of 2 years of experience
• Excellent phone presence, verbal and written skills are required
• Able to work under tight deadlines and multitask
• Ability to work independently and collaboratively
• Demonstrates organizational skills with great attention to detail
• High energy individual with flexibility and ability to retain calm demeanor under pressure
• Proficiency in MS Office products is required (Word, Outlook, Excel)
• Prior experience in any of the following services is required: Finance services firm, accounting, paralegal or customer service
Other Duties:
• Howland Capital will train the right candidate on all of our software systems, however experience with any of the following is a plus: Sungard Addvantage, Tamarac, Microsoft Dynamics CRM
• Assist with special projects as directed
• This role requires being computer savvy and the ability to work with multiple system vendors
